Writing a brief a freelancer can actually quote

A brief that cannot be quoted comes back as a range. A range is not a price; it is a polite way of saying I do not know what you want.

Here is what is missing from most of them.

1. The decision behind the project

Not “we need a new website”. Somebody decided something. Sales are flat, a funding round closed, a competitor launched, the old CMS is about to lose support. That decision tells a freelancer what success means, and success is what they are quoting against.

Projects briefed without the decision behind them get designed twice.

2. The date, and what the date is attached to

“Q4” is not a deadline. “The trade show opens on 4 November and the site is on the stand” is a deadline. The second one lets a freelancer work backwards and tell you honestly whether it is possible.

If the date is soft, say so. Freelancers price hard dates higher, correctly.

3. Who signs it off

Name the person. Not the committee, the person. If there are four stakeholders and no single decider, say that too — it is a legitimate way to work, it just costs more, and pretending otherwise means the extra cost arrives later as scope creep instead of upfront as a number.

The most expensive sentence in this industry is let me just run it past someone.

4. What already exists

Brand guidelines, a photography library, a component library, a CMS everyone hates, a domain nobody can find the login for. All of it changes the estimate, usually downwards. Freelancers assume the worst when they cannot see, and the worst is priced in.

5. What is definitely out of scope

This is the one nearly every brief omits, and it is the one that saves the relationship. Writing “no e-commerce in this phase” costs you a line and saves an argument in week five.

A test

Give the brief to somebody in your company who was not in the meeting and ask them what the project is for and when it is due. If they can answer both, a freelancer can quote it.

If they cannot, you will get a range, and the range will be wide, and it will be wide in the direction that protects the person writing it.
